Just like you create bookmarks and desktop shortcuts to web pages, in your browser or in Windows, you can do the same for the critical information in MasterFile you need to access instantly.
In this issue of "Just The Facts", we show you how to create and organize bookmarks in Notes' "Favourite Bookmarks" and also create shortcuts on your Windows desktop -- using simple drag and drop.
The Bookmark Margin
The left edge of the Notes application window, shown at right highlighted in red, is the bookmark margin. The margin is always displayed no matter what you are doing in Notes.
To create a bookmark to a frequently used document, work-product document, extract or fact profile, or any keyword form, drag and drop the tab over to the bookmark margin. Now to access the item, simply click on its bookmark. To create a bookmark to a database, right click over the view, choose "Create Bookmark ..." and be sure to set the type to "Database".
Database bookmarks let you open more than one view so you can, for example, keep views of facts and documents open simultaneously. NOTE: You must change the current view displayed before clicking on database bookmark a second time to open additional views.
Right clicking over a bookmark provides you options to rename and delete it. You can also set a bookmark to be your "Home Page" so when you start Notes, that bookmark is immediately launched. This can be used, for example, to open directly to a particular case database when you start Notes.
The Favourite Bookmarks Folder
Under the "Favourite Bookmarks" folder icon, pointed to by the arrow above, you can organize additional bookmarks in your own folders, as shown at right.
To display the "Favourite Bookmarks" click on its folder icon and its contents will be displayed in a "fly-out" panel. Simply select a book mark to open the item.
To create a bookmark in the "Favourite Bookmarks", just drag the item's tab over to the "Favourite Bookmarks" folder and hover over it for a fraction of a second while keeping your mouse button pressed. The "Favourite Bookmarks" folder will open letting you complete the drag and drop operation.
If you prefer, you can "pin" the "Favourite Bookmarks" folder to the left of the menu panel so it always remains open and available like the bookmark margin.
"Favourite Bookmarks" can be sorted, searched and displayed in various formats. Click on the various icons displayed at the top of the folder to see the available options.
Creating shortcuts
Your bookmarks are available to once you've started Notes; however, you can also create shortcuts to databases, documents, work-product documents, extracts or facts on your Windows desktop. As for bookmarks, you simply drag the item's tab, but this time drop it on the desktop. Double clicking on these icons will launch Notes and directly display the item.
